Christie Lites UK is looking for a full-time Admin Assistant to perform a variety of administrative tasks to support our UK Labour team.
The Admin Assistant responsibilities include, but are not limited to:
- Following processes and procedures outlined in the Labour Department flowcharts.
- Requesting documentation required from technicians such as CV’s, Public Liability Insurance, Passports plus other information when required.
- Creating travel cost Excel spreadsheets to be sent to the account manager prior to booking.
- Booking and managing all travel, such as flights, hotels and car / van rentals.
- Dealing with travel schedule changes and where appropriate, making cancellations / amendments.
- Sending travel itineraries via email to all relevant parties.
- Uploading expenses onto our in house software application and ensuring receipts are attached.
- Ensuring technicians are paid on time by uploading invoices accurately and within deadlines.
Skills and Experience:
- Successful candidates must have strong IT and customer service skills, together with the ability to work under pressure as part of a flexible and professional team.
- Hard working with a “can do” attitude.
- Be able to work under own initiative.
- Ability to problem solve and find best solution when dealing with schedule changes/cancelled flights & other bookings.
- Effective administration, planning and organisation skills with strong attention to detail and accuracy.
- Great communication skills - both verbal and written.
- Handles pressure and is able to prioritise work load and multitask.
- Adaptability
- Familiar with Microsoft Office as well as being tech savvy using unfamiliar software applications or a quick learner.
- Previous experience in a customer focused based role.
If you have strong IT skills, experience in managing travel arrangements and invoices / expenses, this could be an excellent opportunity. Prior experiece within the events industry would be a huge bonus!
