CafeMedia is seeking an experienced Event Manager to help take our Publisher Events to the next level! In this role you will assist in the planning of our national events that focus on quality and making a difference in the online world. We need someone who understands that our publishers are the highest level content creators and expect visually strong, resource-rich events that delight, inspire, and strengthen client bonds/ business. Daily tasks include researching venues and suppliers, reviewing vendor contracts, prepare destination comparisons with pricing, support on event logistics, and other event management related tasks.  This position will work closely with our publisher-facing teams to understand the heart and needs of our publishers to design impactful programming unavailable anywhere else.

Key Responsibilities :
  • Work with vendors/suppliers to finalize venue space for events including site visits, contracting vendors and other event-related needs (entertainment, food & beverage, accommodations, transportation etc.) while keeping within budgetary requirements
  • Develop forecasting and tack costs ensuring accuracy while keeping within budgetary requirements
  • Manage the production of event materials including communications – i.e. invite design, RSVP lists, name badges and signage.
  • Organize agenda and program details for events
  • Accountable for cross team communications
  • Plan and execute internal meetings/functions
  • Demonstrate flexibility and resourcefulness
  • Resolve or escalate issues urgently
  • Work with Marketing and Publisher teams to help develop special events, social media strategy and content

Skills & Attributes:
  • Highly proactive and self-motivated with excellent interpersonal skills and able to work effectively with senior executives and stakeholders
  • Savvy programmer — knows not just how to plan event/coordinate logistics, but how to find meaningful speakers, potential partners, etc
  • Performance driven mentality with creative and innovative spirit
  • Ability to adapt to various situations in a fast-paced, demanding environment
  • Strong program management skills with the ability to manage all details from planning through execution
  • Extremely thorough and detail oriented
  • Ability to multitask and prioritize with excellent time management
  • Highly communicative regarding project status and updates, particularly areas of concern
  • An individual known to exhibit enthusiasm, integrity and willingness to “roll up their sleeves” to get the job done. Flexible attitude, hard-working and results driven
  • Ability to construct and manage budgets and be a fierce resource for creating amazing, efficient and cost-conscious events
  • Frequent travel required

Experience Required:
  • Minimum of 3-4 years of event planning experience required
  • Bachelor’s degree preferred
