The IMBA Finance Administrator is a part-time, hourly position responsible for accurate and timely record keeping for all IMBA financial transactions including proper coding and recording of all program and operational expense transactions and all revenue and income transactions. The position reports to the Finance Director. The effect on the end result of the Finance Administrator’s function is timely monthly financial reports for management staff and the board’s treasurer.

This role should have daytime availability each day for about 20 hours per week; compensation will be hourly from $18-$20/hour.

This position will have full time remote work arrangement.

Duties to include:

  • Collect, review, approve, and process all staff monthly expense reports.
  • Manage staff per diems.
  • Record daily bank transactions.
  • Manage refunds and transaction requests from the membership department.
  • Tie all IMBA credit card transactions to the monthly credit card statement.
  • Monthly reconciliations as assigned.
  • Prepare quarterly chapter membership revenue share reports.
  • Review and record all approved payables submitted to Finance for processing.
  • Support and assist with the annual budgeting process.
  • Be able to respond to staff inquiries for specific transactions history and reference.
  • Serve as primary accounting contact person for outside vendor questions and issues.
  • Maintain current and archived files for appropriate financial records.
  • Support annual audit process.
  • State and federal filings as assigned.
  • Storage unit organization and management.
  • Disburse general office mail and packages to appropriate staff/departments.
  • Observing confidentiality of detailed financial records.
  • Contribute to regular process improvement for accounting and related operations.
  • Execute other accounting duties as assigned by the Finance Director.

Requirements

 

 

Required Qualifications/Skills:

  • Experience with double entry bookkeeping.
  • B.A/B.S. in Finance, Accounting, or related degree.
  • Skill with accounting software systems (i.e. Quickbooks).
  • Detail minded.
  • Experience working with a complex chart of accounts for proper coding of income and expense transactions.
  • Experience working in a not-for-profit business environment.
  • Technology skills and proficiency with spreadsheet applications (MS-Excel).
  • Experience with accounting functions of membership and donor databases (i.e. CiviCRM).
  • Skill and experience with managing credit card receipt processing and merchant bank systems.
